The channel should not erase the original intent
A prospect may arrive from a JEE search campaign, an Animation/VFX course page, a Meta campaign or an organic resource. If every WhatsApp conversation starts with “How can we help you?” the business can lose useful information that was already available before contact.
Where practical, the flow should preserve course, campaign, location or other relevant context so the counsellor can continue the journey instead of restarting it.
Response ownership matters
Adding WhatsApp does not solve follow-up if nobody clearly owns the response. Institutes need a practical rule for who receives new conversations, what happens outside working hours and how enquiries are handed over when another counsellor or location is responsible.
The correct workflow can be simple. The goal is reliability, not automation for its own sake.
Do not force every question into chat
Prospects still need clear website information. Course basics, eligibility context, location, format and other important details should not be deliberately hidden merely to force a WhatsApp conversation. That can increase message volume while reducing the usefulness of the conversations.
WhatsApp works best as a continuation point for questions, counselling and follow-up after the prospect has enough context to know why they are contacting the institute.
Tracking should respect the business objective
The business may need to know which page or campaign created the conversation, whether the enquiry was relevant and whether follow-up happened. That does not require turning every conversation into an invasive data exercise.
